Terms & Conditions

These Terms and Conditions apply to all clients booking services or contacting Hawkinge Holistic Health & Complementary Medicine Clinic via the website, email, social media, or phone.

By instructing us to commence services such as personal training, any manual massage therapy, treatment, or any other therapy or wellness service offered, you acknowledge and agree to these Terms and Conditions.

Clients are strongly advised to read the sections regarding liability and cancellations, as they contain important legal information. This does not affect your statutory rights.

1. Payment Terms

Payment is required in full at the time of booking via our website.
For telephone bookings, full payment must be made to confirm your appointment.
Prices may be subject to change at any time.
All payments are non-refundable.

2. Online Physical Rehabilitation Appointments

Service Description

Online consultations include an assessment and the development of a personalised rehabilitation plan based on the information you provide.

Limitations

Remote assessments rely on the accuracy of information and visual input provided by the client. They are not as thorough as in-person evaluations and may miss certain physical or medical factors.

Client Responsibility

Clients must provide honest and current details about their health, symptoms, and history. Failure to disclose accurate information may impact the effectiveness and safety of the rehabilitation plan.

Rehabilitation Plan Disclaimer

The plan provided is supportive and advisory in nature and is not a replacement for in-person diagnosis, emergency medical treatment, or hospital care.

Liability

While we strive to offer effective support, Hawkinge Holistic Health & Complementary Medicine Clinic is not responsible for any injury or complications resulting from incorrect implementation or incomplete disclosure of medical conditions.

Follow-Up

Follow-up sessions are recommended to monitor progress. Clients are responsible for seeking further medical attention if new symptoms develop.

Consent

By booking an online appointment, you agree to these terms and acknowledge the limitations of remote services.

3. In-House Appointments

Arrival Protocol

Please arrive no more than five minutes before your appointment. Wait in Reception until your therapist invites you into the treatment room.
Late arrivals may result in a reduced session time, with the full session fee still applicable.

Initial Consultation

Your first session will include a full assessment (e.g., posture, mobility, strength, and injury testing). This may reduce hands-on treatment time during the initial visit, but is essential to ensure safe and effective therapy.

4. Responsibilities

Therapist/Trainer Responsibilities - Our practitioners will use their expertise to:

Design personalised, safe wellness or exercise programmes.
Offer advice, supervision, and support tailored to your goals, abilities, and preferences.

Client Responsibilities

Provide honest medical history and any additional medical documentation if requested.
Arrive on time and dressed appropriately (loose, non-restrictive clothing).
Participate fully and consistently for optimal results.
Follow all clinic policies, including hygiene and safety standards.

5. Health Screening

All clients will undergo a pre-treatment health questionnaire.
Some conditions may prevent us from proceeding with treatment. If you are unsure, please contact us in advance.
We may require a GP medical clearance letter before beginning treatment (additional fees may apply through your GP).
We cannot be held responsible for undeclared or unknown health conditions.

6. Cancellation & Lateness Policies

Cancellations

24 hours' notice is required for cancellations or rescheduling.
Rescheduling is allowed once within 1 week of the original appointment, provided sufficient notice is given.
Less than 12 hours' notice will result in full payment being charged, with no option to reschedule or refund.

Lateness

Sessions will end at the scheduled time, regardless of late arrival.
If our therapist is delayed, additional time will be added to the current or a future session.

7. Liability Statement

This section applies within the limits of applicable law. Hawkinge Holistic Health & Complementary Medicine Clinic does not limit liability for:

Personal injury or death due to negligence
Fraudulent misrepresentation

However, we do not accept liability for:

Indirect or consequential losses
Loss of income, data, or property (including vehicles on-site)
Third-party claims resulting from use of this website or our services

Our total liability is limited to the amount paid for the services in question.

8. Website Use & Communication

This website is owned and operated by Hawkinge Holistic Health & Complementary Medicine Clinic.

9. Online Bookings (Cliniko Platform)

Appointments made via our Cliniko booking system are subject to Cliniko’s Terms & Conditions and Data Processing Agreement, available at cliniko.com. Cliniko is GDPR compliant.

10. Updates & Revisions

We reserve the right to revise these Terms & Conditions at any time. Any updated version will be posted on our website and will apply to all bookings made thereafter.

By continuing to use our services, you accept the most recent version of our Terms & Conditions.

11. Legal Jurisdiction

These terms are governed by the laws of the United Kingdom of Great Britain and Northern Ireland. Any disputes arising shall be resolved in UK courts.

If any clause within these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
